Food Safety Management Systems are generally made up of two parts - the written policies to be followed and the documentation of the food safety checks. At Caterers Choice Food Safety, we have developed a unique three file system, allowing kitchen-based and office-based checks to be separated -

The User Manual is a simplified version of HACCP, as advocated by the Food Standards Agency for small hospitality businesses.
For each activity within the business, it firstly identifies what can go wrong. For example, during incoming deliveries this may be bacterial multiplication whilst food is not refrigerated.
It then sets out the safe methods to control what can wrong. In our example, this would be making sure food is delivered at the correct temperature and limiting the time it takes to put a delivery away.
The User Manual will then state what to do if something is wrong. In this example, food delivered not at the correct temperature would be rejected.
Finally, to meet legal requirements, how this is documented. In our example, we record delivery checks in the Food Hygiene Diary.
In addition to an A-Z of the hazards identified, CCFS user manuals also contain a 'Food Safety Policy Statement' and 'Managers' Agreements for Food Safety' to be signed. They also explain how the FSMS operates, providing information for both staff and enforcement officers.
The Food Hygiene Diary contains forms to document the checks that are completed regularly during service in the kitchen. These are standard checks that are common throughout most hospitality businesses, although the frequency and content of the checks may vary.

The Office File contains the checks that are done less regularly and don't need to be in the kitchen continuously. These are just as important as the checks that take place during service and often lay the foundations for legal compliance and good practice.
